Operations Assistant Position Overview
Decoded Strategies is looking to hire a part-time Operations Assistant to work 20 hours per week. There may be an opportunity to grow this position into additional hours over the course of the next 12 months.
As Operations Assistant, your primary areas of focus will be to oversee client and internal projects and ensure proper milestones, timelines and deliverables are hit on the business and client-side of the project. By providing guidance and direction on client and internal project management, you’ll build upon our systems and processes, and provide assistance to support the daily operations of the business. Reporting directly to our Chief Strategy Officer, you’ll support our two co-founders, and work collaboratively with additional staff, contractors and partners as needed.
The Operations Assistant will have a keen eye for detail, approach work with a proactive lens, and enjoys digging into problems to come up with effective solutions. Blending high-level, ongoing project management tasks with small, ad-hoc operational tasks, the Operations Assistant will become an integral part of the team.
Responsibilities include:
Project Management (approx 40%):
- Project management: Onboarding and offboarding new clients into our project management system (Asana), and ensuring we’re hitting our intended project timelines by communicating project milestones and delivery schedule as needed.
- Communication: Communicating internally and externally (clients, partners and contractors) regarding upcoming milestones, requirements and deliverables, and providing support where needed to help facilitate project delivery.
- Work Prioritization: Working with Co-Founders to prioritize our weekly work in accordance with upcoming project milestones.
- Process management: Oversee end-to-end sales administrative processes including prepping notes, drafting proposals and invoices, drafting emails as necessary to assist in the process of closing sales, etc.
Admin & Operational support (approx 30%):
- Administrative support: Co-Founder calendar and email inbox management, making and updating travel arrangements, to-do- list management, etc.
- Meeting prep: Creating and delivering meeting agendas, notes docs (and occasionally joining meetings to take notes), and other materials as needed.
- Scheduling: Coordinate with clients, partners, etc. to facilitate meeting scheduling.
Meeting & Creative support (approx 30%):
- Creative asset delivery: assisting in creating and finalizing written and creative templates such as Canva graphics, email campaigns, presentation decks, etc.
- Social media: Oversight and execution of Decoded Strategies social media content calendar
- Project review: provide an editing and copyediting eye on final client deliverables to evaluate for accuracy.
What we're looking for:
- Ability to self-direct and take initiative to solve problems
- Comfortable managing small, ad-hoc tasks in addition to higher level, ongoing projects and responsibilities
- Strong written and verbal communication skills
- High EQ, and comfortable giving and receiving feedback
- Previous experience working on marketing-related projects is desired, but not required
- Previous experience working with project management and marketing software such as Asana, Trello, Nusii, etc. is strongly preferred, but not required
Desired Start date: January 3rd, 2021
Part-time position: 20 hours/week (with the option to increase hours over the course of following 12 months), with preference to work majority of weekly hours between 9am-12pm Pacific Time
Compensation: Hourly rate between $22-$25/hour depending on experience
Benefits: Paid time off, flexible hours, ability to work remotely
